What is the best Fireflies AI alternative?

For a Fireflies AI alternative that never joins a call by itself, Koi records your Mac only when you say yes, and keeps the transcript and a video of the screen there. Fathom has a bigger free plan, Otter and tl;dv suit teams, Granola AI and Jamie take notes with no bot, and MacWhisper stays local.

Fireflies AI (fireflies.ai, the meeting assistant, not the insect) is a team note taker: its bot joins Zoom, Meet, Teams and more, and a desktop app and a Chrome extension record without it. It has CRM sync, file uploads, a team library and transcription in 100+ languages, with English first and many in beta, on its pricing page.

We make Koi, so it's first below. It does less than Fireflies for a team: no speaker names beyond You and Them, no CRM, no shared library, no file uploads, no free plan, and Mac only. Facts about the others are from their own sites, checked October 16, 2026.

When Fireflies AI is still the better pick

  • Your sales or ops team needs calls in the CRM without anyone copying them over.
  • You upload recordings and files to transcribe, not just live calls.
  • You want every speaker named, and a library the whole team can search.
  • You want your notes on the web and on your phone, not just one Mac.
  • Free is enough: transcription with 400 minutes of storage per team.

Fireflies also now offers free dictation in its desktop app, called Talk. If that and team notes are all you need, it's hard to beat on price.

Why people look for a Fireflies AI alternative

The fresh complaint is joining. Fireflies has 4.5 out of 5 from 856 reviews on Trustpilot, so most people are happy. But a review from October 7, 2026 says the Mac desktop app kept trying to join every call on Google Meet, Zoom and WhatsApp even with auto-join off, and another from October 3 describes a “0 meetings left” upgrade prompt after three meetings. One or two reviews aren't proof, but they match a common worry: a note taker that decides for you.

The rest comes from Fireflies' own pricing page:

  • Free storage is 400 minutes per team, and Pro's is 8,000 minutes per seat. Unlimited storage starts on Business.
  • Free AI summaries are limited.
  • Video is unclear: the pricing cards list video recording on Pro, but the FAQ calls it a Business feature, at $29 a seat a month or $19 yearly.
  • Every call goes to Fireflies' cloud to become text.

7 Fireflies AI alternatives for Mac

1. Koi

Best for: A recorder that never joins or starts without you

Koi can't auto-join a call, because it never joins one. It records your own Mac, and only after you ask: tap Fn + ⌃ and pick Online call, or click Record when the dock asks “Record this call?” as Zoom, Teams or a Meet tab picks up your microphone. Not now means nothing is heard.

Your microphone is You and what the Mac plays is Them, each stretch written down on your Mac with Whisper. The screen is filmed with both sides' sound on every plan, with no storage cap beyond your own disk, and the video never leaves your Mac. Afterwards Koi asks whether to summarize. With a yes, the transcript's words go to Koi's AI for a title, a short summary, your to-dos, a follow-up email draft and the dates agreed, ready to add to Koi's calendar.

Unlimited calls on every plan. Pro is $20 a month or $192 a year after a 3-day trial with a card; Lifetime is $59 for the first 25 buyers, rising to $199.

2. Fathom

Best for: A bigger free plan, with video

If Fireflies' free storage is the problem, Fathom's free plan solves it: unlimited recordings and transcriptions, instant summaries, clips and search. It records video, and has CRM sync. Its bot is the default; bot-free capture is live on Mac, with bot-free video in a Zoom beta. Premium is $20 a month, or $16 yearly. Superhuman bought Fathom on September 14, 2026. 3. Otter

Best for: The closest team note taker, with a bot-free app

Otter does what Fireflies does for a team: live transcripts, a Notetaker that joins from the calendar, chat across meetings, and Salesforce, HubSpot and Zapier on Pro. Its desktop app records without a bot. It transcribes six languages, far fewer than Fireflies. Basic is free with 300 minutes a month; Pro is $16.99 a user a month, or $8.33 yearly. See our Otter AI alternatives.

4. Granola AI

Best for: No bot ever, and you start every meeting yourself

Granola never sends a bot and, per its security page, you start it yourself for each meeting. It blends your rough notes with the transcript, made in the cloud. No audio or video is kept. Basic is free with 30 days of history, and Business is $14 a user a month with HubSpot and other integrations. Our Granola AI page has more.

5. tl;dv

Best for: Free video recording, stored in the EU

tl;dv's homepage lists unlimited free recordings and transcriptions in 30+ languages, video and audio, EU storage, and a promise never to train AI on your recordings. Its desktop app records without a bot on Apple silicon and Intel Macs. Pro is €29 a seat a month, or €18 yearly.

6. Jamie

Best for: Bot-free notes in the EU, with a consent email

Jamie captures your device's audio with no bot, online or in person, and sends a consent email on every plan. Its security page says audio is processed in the EU and deleted after transcription. Free gives 10 AI notes a month for meetings up to 30 minutes; Plus is €21 a month billed yearly.

7. MacWhisper

Best for: Local transcripts and file uploads, paid once

Like Fireflies, it transcribes files you bring it, but on your Mac. MacWhisper Pro also records meetings, splits up to 8 speakers and summarizes with local models or your own keys. It's €64 once and needs macOS 15. Compare it with the cloud in MacWhisper vs Granola AI.

Fireflies AI vs Koi

Fireflies is built for a team that shares its calls. Koi is built for one person who wants to keep theirs. That decides most of it.

Fireflies wins on named speakers, the team library, CRM and Zapier sync, file uploads, the web and phone apps, more languages and a free plan. Koi wins on where things live and who decides: the transcript is made on your Mac, the video of every call is kept there on every plan, nothing joins or starts without you, and nothing from a recording goes online unless you ask for it. Koi also does dictation in any app, an In person mode for meetings in the room, and live captions of the other side in your language on macOS 26 and later.

Is it legal to record a call with no bot?

It depends on where you and the others are, and some places require everyone to agree. Fireflies' bot shows up in the participant list. Koi doesn't announce itself to the call, so ask at the start. This isn't legal advice.

Courts are starting to weigh in on note takers. Brewer v. Otter.ai, a proposed class action filed in August 2025, alleges Otter's Notetaker recorded people without their consent, per NPR. It's an allegation, not a ruling, but it's a good reason to say “mind if I record this?” whatever app you use.

Which Fireflies AI alternative should you pick?

  • Nothing joins, nothing starts without you, and the video stays on your Mac? Koi.
