Expensify alternatives for your own receipts

If you don't need approvals or reimbursements, Koi turns a receipt into an expense with one drag and keeps it on your Mac. Receipts Space, Zoho Expense, Wave, Shoeboxed and Dext are the other picks, prices checked October 18, 2026.

Why look for an Expensify alternative?

Expensify is built for companies: employees snap receipts, managers approve them, and the money is paid back. Anyone with an account gets SmartScan, which reads the merchant, date and amount off a receipt, free, along with email forwarding and CSV export (Expensify's free features). Categories, tags, reimbursement and accounting integrations need a paid workspace: Collect is $5 per member a month, and Control is $18 per member a month on a 12-month commitment, at the time of writing (Expensify pricing).

That suits a team with expense reports. People who just want to know where their own money goes look elsewhere when:

  • They don't need approvals or reimbursements, only a record of what they spent.
  • They'd rather receipts didn't go to another company's cloud to be read.
  • The workspace made at sign-up starts a trial and then asks for a card.
  • They want their bills and subscriptions in the same place as one-off receipts.

We make Koi, one of the apps below, so read this with that in mind. Everything about the others comes from their own sites, checked on October 18, 2026.

6 Expensify alternatives for a Mac

1. Koi

Best for: Receipts to expenses with one drag, kept on your Mac

Drag a receipt, an invoice or a bill anywhere on your Mac, hold Shift, and drop it on Add expense in the wheel that opens round your pointer. Koi reads who you paid, the total and how often, and adds it to its expense tracker, next to your rent, bills and subscriptions, with what you earn and what's left each month. A photo of a paper receipt works: pictures are read on your Mac first, and only the words go to Koi's AI. The tracker itself is kept on your Mac.

The same wheel explains a bill out loud, puts a booking's dates in your calendar, translates a file or reads it aloud. Pro is $20 a month, or $192 a year, after a 3-day free trial that needs a card. Lifetime is paid once, from $59.

The tradeoffs are real. Koi is a personal tracker: no expense reports, no approvals, no reimbursements, no accounting integrations, and one currency for everything, with nothing converted. It's Mac only.

2. Receipts Space

Best for: A local archive of receipts and invoices on your Mac

Receipts Space is a Mac app that keeps your receipts and documents in a library on your Mac, shared across Macs through iCloud Drive, Dropbox or a NAS if you like, with optional encryption. It reads amounts, dates, taxes and IBANs. It's a free download limited to 50 documents with watermarked PDFs; the subscription is $59.99 a year on the App Store. It needs macOS 14.6 or later.

It leans toward archiving documents and invoices more than quick budgeting.

3. Zoho Expense

Best for: A free plan for up to three people

Zoho Expense is free for up to 3 users, with 20 receipt autoscans per user a month and 5 GB of storage. Standard is $4 per user a month, or $3 billed yearly, with 200 scans. It has a Mac App Store app, and receipts go to your Zoho account in the cloud. Like Expensify, it's built around expense reports and approvals.

4. Wave

Best for: Receipts inside free bookkeeping

Wave's bookkeeping is free to start, but receipt scanning is an add-on: $8 a month or $72 a year in the US, with unlimited scans, or included in Pro at $19 a month. Receipts come in from its phone apps, by email or by upload on its website. There's no Mac app, and full bookkeeping is a lot if you only want receipts.

5. Shoeboxed

Best for: Mailing in a pile of paper receipts

Shoeboxed scans receipts from its phone apps, and lets you mail paper ones in its Magic Envelope. Starter is $9 a month or $97 a year, with 50 digital scans a month and one envelope a year; there's no free plan, with a 30-day money-back guarantee. On a Mac you use its website.

6. Dext

Best for: Bookkeepers and accountants

Dext captures receipts and invoices by phone, email, WhatsApp or upload, keeps them for 7 to 10 years and sends them to over 36 accounting platforms. One plan, $25.21 a month or $302.50 a year, with 250 documents a month and a 14-day trial without a card. It's the most for one person, and it's built for whoever does the books.
