Avoma is built for revenue teams: notes, scheduling, call scoring and forecasting, priced per seat with add-ons. If you're one person who mostly wants calls recorded and summarized, Koi does that on your Mac with no bot and keeps the recording there. If your team still needs CRM sync, MeetGeek, Fathom and tl;dv cover the basics for less, and Bluedot and Jamie skip the bot.
We make Koi, so read this with that in mind. Koi is not a sales platform: it has no CRM sync, no call scoring, no scheduler, no team analytics, and it runs only on a Mac. Everything about the other apps comes from their own sites and help pages, checked October 21, 2026. We didn't run tests.
Avoma
Avoma records and transcribes meetings on Zoom, Microsoft Teams, Google Meet, Webex, GoToMeeting and more, in 70+ languages, and writes AI notes and follow-up emails. Notes save to Salesforce, HubSpot, Zoho, Pipedrive and Copper, and it connects to dialers like Aircall, Dialpad, RingCentral and Zoom Phone. There are iPhone, Android and desktop apps and a Chrome extension.
By default, the Avoma Assistant joins the meeting as a bot. Its pricing page says it supports bot-less recording too. On Zoom, that means Zoom's own cloud recording, sent to Avoma afterwards, and Avoma's help center says that needs a paid Zoom account.
Avoma's security page says it hosts everything on AWS in the USA, with a SOC 2 Type II report and ISO 42001 for AI management. The page doesn't say whether customer data trains AI models.
Why switch
Usually the price, or the size of it. From Avoma's pricing page, per recorder seat (viewers are free):
The other reasons are the bot, unless you set up Zoom cloud recording, and the fact that every call ends up on Avoma's servers in the US. For a sales team that lives in Salesforce, that's the deal. For a founder, consultant or recruiter on a Mac, it's often more than needed.
The picks
Best for: One person on a Mac who wants every call kept
Tap Fn + ⌃ on any call and pick Online call, then Audio only or Audio and video. Koi hears your microphone as You and what the Mac plays as Them, and writes each stretch down on your Mac as it pauses. Audio and video films the screen with both sides' sound. No bot joins, no paid Zoom plan is needed, and the recording and transcript are saved on your Mac.
When the call ends, say yes to “Summarize this call?” and Koi writes a title, a short summary and your own to-dos, plus the follow-up email to send, which opens as a Mail draft. On a sales call it adds what the customer needs and what held them back; on an interview, the strengths and concerns. Only the transcript's words go to Koi's AI. Before a meeting, Koi can offer a short brief from your past calls and pages.
Recorded calls are unlimited. Pro is $20 a month or $192 a year after a 3-day trial with a card; Lifetime is paid once: $59 for the first 25 buyers, rising to $199. Weakness: no CRM, no scoring or forecasting, no team, no speaker names beyond You and Them, and Mac only (macOS 14 or later).
Best for: CRM fields filled in, for less
MeetGeek's agent joins as a bot, or its Mac and Windows app records with none. It fills HubSpot, Salesforce, Pipedrive, Zoho CRM and Attio, including MEDDIC fields, in 100+ languages, with EU or US hosting. Free gives 3 hours a month; Pro is $15.99 a month or $9.99 billed yearly; Business, with video and team analytics, is $27 or $17 yearly.
Weakness: Pro caps transcription at 20 hours a month.
Best for: A free start, CRM sync when you grow
Fathom's Free plan lists unlimited recordings and transcriptions with instant summaries. Its bot joins by default, or you can record bot-free on a Mac, in beta. Team is $19 a user a month, or $15 yearly, and Business adds CRM field sync and coaching metrics for $34, or $25 yearly.
Weakness: less depth on forecasting and deal tracking than Avoma.
Best for: A free plan, hosted in the EU
tl;dv records Meet, Zoom and Teams with a bot, or bot-free from its Mac and Windows app. It logs call notes and outcomes to CRMs, with HubSpot, Salesforce and Salesloft workflows, in 30+ languages, hosted in the EU. Free has unlimited recordings, with full AI notes on 10 meetings; Pro is €29 a seat a month, or €18 billed yearly.
Weakness: bot-free recording is audio only.
Best for: No bot, with CRM and ATS on Business
Bluedot never sends a bot and records through a Chrome extension, Mac and Windows apps and phone apps, in 100+ languages. Pro is $20 a user a month billed yearly, with video; Business, $32, adds CRM and ATS integrations and SSO.
Weakness: Free is 5 meetings for life.
Best for: No bot, data kept in Europe, CRMs on Pro
Jamie records your device's audio with no bot, streams it for transcription without storing it, and keeps data in the EEA, Switzerland and the UK. Pro, €39 a month billed yearly, connects Salesforce, HubSpot, Attio, Dynamics 365 and Pipedrive.
Weakness: no recording to replay, and no scheduler or scoring.
