A Notion AI Meeting Notes alternative that keeps the call on your Mac

Notion AI Meeting Notes needs Notion's Business plan and sends the audio to cloud transcription. Koi records calls on any plan, writes the transcript on your Mac and keeps the video there. It's Mac only, names only You and Them and isn't in Notion, so stay on Notion if your team's notes live there.

Should you switch from Notion AI Meeting Notes?

Switch if you want the call itself kept on your Mac, without a Business plan. Koi records any call on any plan, writes the transcript on your Mac, and keeps the video with its sound there. Don't switch if your team's meeting notes live in Notion: Koi is Mac only, names only You and Them, and doesn't send anything to Notion.

Stay on Notion AI Meeting Notes if

  • Your team's notes live in a shared Notion workspace, and your meetings belong in its database.
  • You want notes shared with the meeting's people by themselves. Koi has no sharing, only Word, PDF and Copy as Markdown.
  • You record on Windows or your phone too. Koi is Mac only.
  • You want the other person named. Notion can label them by name on calendar meetings in English; Koi says You and Them.
  • You want a consent message posted or played for you. Koi doesn't announce itself to the call.
  • You transcribe audio files. Notion takes AAC, M4A, MP3 and WAV uploads; Koi doesn't transcribe files.
  • You want your own typed notes blended into the summary. Notion's summary uses them; Koi's uses the transcript.

We make Koi, so read this with that in mind. Every fact about Notion comes from its own pages, checked October 16, 2026, and we didn't run tests.

How Notion AI Meeting Notes works

You type /meet on a page in Notion's desktop app, or click Join and transcribe on a calendar meeting, and Notion transcribes the call and writes a summary that links back to lines in the transcript. No bot joins. Per Notion's AI Meeting Notes help:

  • It needs the Business or Enterprise plan. Free and Plus get a limited trial.
  • The desktop app (macOS 13 or later, or Windows) hears your microphone and the call's sound. In the browser it hears only your microphone, and on a phone only the phone's microphone.
  • Audio goes straight to Notion's AI providers to be transcribed in real time. Notion says they don't store it, and the temporary copy on your computer is deleted once it's processed, or within 24 hours.
  • It isn't supported offline.
  • Each person gets up to 10 hours a day.
  • It transcribes 16 languages. Labelling who spoke is English only.
  • Notes are private until shared, and a setting can share them with the meeting's people in your workspace.

Business is $20 a member a month billed yearly, or $24 billed monthly, on Notion's pricing. It also brings Notion Agent and Enterprise Search.

Why people look for an alternative

  • The Business plan. On Free or Plus, full meeting notes mean moving to Business, priced per member.
  • The cloud. The audio is transcribed on other companies' servers, and the transcript and summary live in Notion's cloud.
  • No recording to rewatch. Notion keeps the words, and keeps audio on your device only if you switch that on.
  • Getting notes out. Notion exports pages as PDF, HTML or Markdown, but not as Word files (Notion's export help).
  • Languages. Sixteen, with speaker labels in English only.

Koi: record the call on your Mac, any plan

Tap Fn + ⌃ on any call and pick Online call, click Record on Koi's dock, or choose Record an Online Call from the menu bar. When Zoom, Teams, FaceTime, Webex, Slack, Discord or a Meet call in your browser starts using the microphone, the dock also asks “Record this call?”. Nothing is heard until you say yes.

Koi listens to two things apart: your microphone, which is You, and what the Mac plays, which is Them. Each stretch of talk is written down on your Mac with Whisper as it pauses, in any of 57 languages, and the screen is filmed with both sides' sound. The audio and the video never leave your Mac. The call is written onto a document as it goes, and the document opens when you stop: the video, then You and Them in turns.

For a meeting in the room or a class, pick In person instead. Koi listens through your microphone alone and keeps the sound on the page to play back. A class gets a summary, the key points, flashcards and what you were told to do.

Notes only when you say yes

Each time a recording ends, its page asks “Summarize this call?”. Say yes and only the transcript's words, never the audio or the video, go to Koi's AI, which is online. It writes a title, two to four sentences on what was said and decided, and your own to-dos as checkboxes, plus headings the call needs, like what a customer needs and what held them back.

With “Draft a follow-up email” on, which it is to begin with, you also get the email to send, written the way you talk, one click from a draft in Mail. The dates the call agreed on are offered for Koi's calendar, each one yours to add or not. Nothing of the notes is kept on Koi's server. Say no and nothing from that recording leaves your Mac.

Before a meeting, Koi can offer a short brief from your own past calls and pages. On a call with Koi, ask “what did Sam say about pricing?” and it answers from your recordings and documents. More on recording calls with Koi.

What each costs for one person

About the same. Notion Business is $20 a month billed yearly, or $24 monthly, per member. Koi Pro is $20 a month, or $192 a year ($16 a month), after a 3-day free trial that needs a card. Lifetime is paid once: $59 for the first 25 buyers, rising to $199, with a limited amount of Koi usage included.

The difference is what comes with it. Notion Business brings the rest of Notion for a team. Koi brings unlimited recorded calls and dictation in any app, on your Mac, plus an AI you talk to, whose use is counted. There's no free Koi plan. See Koi's plans.

Do you need consent to record a meeting?

Often, yes, and in some places everyone on the call has to agree. Notion builds this in: Start transcribing asks you to confirm you have consent, and it can post or play a consent message for you. Koi doesn't announce itself to the call, and its dock never shows in a screen you share, so asking is up to you. A quick “mind if I record this for my notes?” at the start covers it.

This isn't legal advice. Check the rules where you and the others are. Our guide to recording a Zoom meeting on a Mac covers the call apps' own recording options too.

Which should you pick?

  • Free, and the cloud is fine? Fathom.
